PRIVACY POLICY

Privacy Policy

Last updated October 22, 2026

WorkPossible is operated by CultureCon LLC, which is our legal company name. In this Privacy Policy, “WorkPossible,” “we,” “us,” and “our” refer to CultureCon LLC, the company responsible for the Services and information practices described in this policy.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you attend our events, visit our websites, participate in membership services, or interact with our event pages, speaker application and onboarding pages, sponsor onboarding pages, attendee and registration workflows, surveys, forms, private links, upload tools, communication tools, and other products and services that link to this Privacy Policy (collectively, the “Services”).

Some events, speaker agreements, sponsor agreements, media releases, membership features, and third party services provide additional notices about particular uses of information. Those notices supplement this policy for the relevant activity. They do not authorize processing prohibited by applicable law or replace consent where consent is required.

Information We Collect

We may collect the following categories of information:

Contact and identity information: Name, email address, phone number, mailing address, company, job title, role, professional affiliation, account information, and other information you choose to provide.

Speaker application and review information: Application responses, biographies, headshots, company information, professional profile links, proposed session titles and descriptions, learning objectives, audience information, topic categories, prior speaking experience, availability information, co presenter information, reviewer assignments, reviewer notes, scores, recommendations, internal comments, and application status.

Speaker onboarding and event participation information: Accepted session details, presentation files, logos, headshots, social and professional links, speaker profile information, promotional preferences, acknowledgements, signed or typed names, event policy acknowledgements, discount or promotional code information, and communications with our team.

Sponsor, exhibitor, advertiser, volunteer, award, and partner information: Contact details, company information, package selections, billing and invoice information, logos and brand assets, booth or benefit selections, program advertising materials, submitted content, onboarding status, and related communications.

Attendee, registrant, ticketing, and event information: Registration and ticket records, ticket assignments, check in and attendance status, badge profile and connection information, professional profile links, employer and job details, industry, general location, company size, position level, purchasing responsibility, career experience, survey responses, and other information you choose to provide in event workflows.

Membership and subscription information: Membership tier, named member and purchaser details, employer or organizational payer where applicable, enrollment date, individual 12 month service term dates, annual charge and renewal dates, price and discount information, renewal status, payment authorizations, accepted terms and versions, benefit selections and redemption by term, ticket assignments, cancellation requests and confirmations, payment status, and support communications. If you request an alternative payment arrangement, we may also collect your request, communications, approval status, and the agreed payment schedule. A request alone does not create a payment plan.

We do not automatically publish a member directory or record or transcribe facilitated member sessions. We maintain administrative participation and benefit records to deliver membership. If you voluntarily request a physical item, we use the size, delivery address, or similar details you provide to fulfill that request.

Payment information: Stripe processes payments for our Tito event ticketing and administers membership payments and annual billing. It processes payment and billing information supplied through its payment services. We use relevant customer, subscription, and transaction records for billing, discounts, refunds, renewals, payment failures, and approved alternative arrangements. Stripe describes its practices at https://stripe.com/privacy. Other purchase workflows may use the payment provider identified at checkout. Please do not send full payment card details by email.

Files and submitted materials: Presentations, PDFs, images, logos, advertisements, marketing assets, profile images, documents, and other materials you upload or submit through the Services.

We use accommodation and dietary details to address your request and share relevant details with personnel, venues, or food service providers assisting with it. We do not make those details part of a public member profile. Please provide only the information needed to arrange assistance.

Communications and workflow information: Emails, comments, reminders, confirmations, support requests, task history, operational notices, internal activity logs, audit history, and timestamps.

Technical and usage information: IP address, browser type, device information, operating system, pages visited, referring pages, access times, access and security logs, delivery logs, error logs, and other information used to operate, secure, troubleshoot, and improve the Services.

How We Collect Information

We may collect information directly from you when you register for an event, make a purchase, submit an application, complete an onboarding process, fill out a form or survey, upload materials, participate in an interactive feature, request support, communicate with us, or otherwise use the Services.

We may also obtain information from event organizers or administrators, internal staff or reviewers, sponsors or partners, ticketing and registration platforms, service providers, communications with us, and publicly available professional sources relevant to event review or operations, such as company websites, professional profile pages, speaker pages, publications, and similar public materials.

We may combine information obtained from these sources with information we collect directly through the Services.

When an organization purchases membership for a named member, we receive contact and assignment details from the purchaser. We provide the purchaser with invoices, payment status, the assigned member name, membership tier, term dates, and renewal status as needed to administer the purchase. Payment alone does not give the purchaser access to private discussions, session contributions, messages, or detailed individual attendance and benefit use reports. Additional disclosures require a separate lawful basis and appropriate notice.

Cookies and Other Tracking Technologies

When you access or use our Services, we and our service providers may automatically collect certain information using cookies, pixels, web beacons, and similar technologies.

Cookies are small data files stored on your device that can help us operate and improve our Services, understand which areas and features are popular, remember preferences, and count visits.

Web beacons and similar technologies may be used in our websites or emails to help deliver cookies, understand usage, measure campaign effectiveness, and determine whether certain communications have been opened or acted upon.

Most web browsers allow you to control or reject browser cookies through your browser settings. Please note that removing or rejecting cookies may affect the availability or functionality of certain parts of the Services.

Browser settings can limit or reject cookies, but may not control every tracking method or separately uploaded advertising audience. You may request exclusion from sponsor marketing lists or customer audience uploads by emailing info@workpossible.org. We process applicable privacy choices as described below. Ordinary Do Not Track signals and legally recognized opt out preference signals are different; we do not make a separate response commitment for ordinary Do Not Track signals. We honor legally recognized opt out preference signals, including Global Privacy Control, where applicable law requires. Where consent is required for nonessential tracking, we obtain it before that tracking is used.

How We Use Information

We also use membership information to enroll members throughout the year, calculate individual service and renewal dates, provide tier benefits, administer member sessions and access, process authorized annual membership charges and separately approved payment schedules, send payment and renewal notices, record consent, track conference entitlements by membership term, respond to cancellation requests, and maintain evidence needed to verify billing and cancellation. For prelaunch purchasers, we distinguish the enrollment and payment date from the January 1, 2027 service start.

We may use information about you to:

1. Operate, maintain, secure, and improve the Services.

2. Provide and deliver the products, events, and services you request.

3. Process transactions and send confirmations, invoices, receipts, and related information.

4. Accept, process, evaluate, and manage speaker applications and related review workflows.

5. Assign applications or materials to authorized reviewers and support human review and selection processes.

6. Coordinate speaker, sponsor, exhibitor, attendee, volunteer, award, and partner onboarding.

7. Process registrations, ticketing records, access codes, check in information, event lists, and other event logistics.

8. Create, review, approve, and publish speaker profiles, event pages, session information, attendee graphics, promotional graphics, sponsor materials, program advertisements, and related event materials.

9. Generate, review, edit, and send operational communications, confirmations, reminders, notices, emails, comments, and follow up messages.

10.Manage billing, invoices, payment status, sponsor packages, and other event related financial administration.

11.Store uploaded files, electronic acknowledgements, task history, audit history, and event records.

12.Produce reports, exports, dashboards, status views, surveys, analytics, and operational summaries.

13.Monitor and analyze trends, usage, and activities related to our Services.

14.Personalize and improve our Services and provide content, communications, or features that may be relevant to you.

15.Communicate with you about WorkPossible products, services, events, offers, promotions, news, and other information we believe may be of interest to you.

16.Troubleshoot problems, prevent fraud or misuse, protect access links, monitor service performance, and maintain the security of our Services.

17.Comply with legal, contractual, accounting, tax, audit, dispute resolution, and recordkeeping obligations.

18.Carry out other purposes disclosed to you at the time information is collected or with your consent or direction.

AI Assisted and Automated Tools

We may use artificial intelligence assisted tools, automation, and other workflow technologies under our direction to support event and business operations.

These tools may assist with activities such as research, application review support, summarization, drafting content, preparing communications, generating or editing promotional materials, organizing records, extracting information from submitted materials, and similar operational tasks.

AI assisted tools are used to support WorkPossible staff, event organizers, reviewers, and operations personnel. They are not intended to serve as the sole basis for final speaker selection, rejection, sponsorship, participation, or other significant event decisions. Final event and application decisions are reviewed by humans.

We may provide submitted information and relevant publicly available professional information to service providers that process information on our behalf in connection with these workflows.

We use AI tools, including ChatGPT and Claude, to help analyze attendee, member, and business information, prepare strategy, draft communications and promotional content, and support creative and administrative work. SBIOS supports application and onboarding workflows. Relevant contact, professional, application, submitted content, or participation information may be processed through these tools for those purposes. Our team makes final significant application and selection decisions. We do not record or transcribe private facilitated member sessions or submit their discussions for AI analysis. AI generated summaries and inferences may be inaccurate; contact us to request correction of personal information. The provider’s service terms and applicable account settings govern its retention and use of information, including any use to improve its models.

How We Disclose Information

We may disclose information about you:

To WorkPossible personnel and event teams: Including staff, event organizers, administrators, authorized reviewers, contractors, and operations personnel who need access to information for event, application, review, onboarding, sponsor, attendee, or support purposes.

To service providers: We use providers for hosting, ticketing, payments, communications, databases, automation, accounting, certificates, learning content, video meetings, analytics, advertising support, and AI assistance. Examples include Wix; Tito and Stripe; Mailchimp; Airtable, SBIOS and Process Street; QuickBooks; Virtual Badge; Teachable; Zoom; and ChatGPT and Claude. Relevant information is supplied to operate the applicable service. Mailchimp mailing list administration and Teachable course access are distinct from our separate sponsor and advertising audience disclosures. Use of these vendors does not mean every vendor receives every category of information.

For membership billing, Stripe processes relevant customer, transaction, subscription, and authorization records for payments, renewals, refunds, and subscription management. We use those records and related communications to administer the membership and respond to support and cancellation requests.

To sponsors, exhibitors, and partners: We disclose or sell selected contact, professional, demographic, and event registration information to qualifying sponsors and partners for networking, relationship development, and their own marketing, subject to applicable notice, permission, and opt out requirements. These recipients are distinct from providers acting only to operate a service for us. See Sponsors Exhibitors and Networking Partners below.

For public event purposes: When information is intended or approved for public use, such as speaker names, headshots, biographies, job titles, company names, session titles and descriptions, professional or social links, sponsor names and logos, event materials, program advertisements, promotional graphics, and other published event content.

For legal and safety purposes: When we believe disclosure is appropriate or required to comply with applicable law, regulation, legal process, contractual obligations, audits, tax or accounting requirements, security investigations, or enforceable governmental requests, or to protect the rights, property, or safety of WorkPossible or others.

In connection with a business transaction: Including a merger, acquisition, financing, reorganization, sale of assets, or similar transaction involving WorkPossible or the Services.

With your consent or at your direction: Including when we notify you that information will be shared in a particular manner and you choose to provide that information.

We may also disclose aggregated or de identified information that cannot reasonably be used to identify you.

We do not intend for private review notes, internal task history, internal comments, nonpublic application materials, or private uploaded materials to be published unless they are converted into approved public event materials or disclosure is otherwise permitted by an applicable agreement, notice, or law.

Sponsors Exhibitors and Networking Partners

Qualifying sponsors and third party partners may receive attendee lists that we supply selectively, including by email or spreadsheet. These lists can include contact details, company and role information, general location, company size, purchasing responsibility, professional links, and related registration information. Lists may be provided as part of a paid sponsorship or other commercial arrangement, and recipients may use them for their own marketing. This sharing is separate from voluntary badge scanning. We do not include private member discussions or payment credentials in sponsor marketing lists.

You may request that we exclude your information from future sponsor direct marketing lists by emailing info@workpossible.org. We record the request and apply it to future disclosures, subject to applicable law. Where required, we also communicate appropriate requests to recipients of prior disclosures. A request cannot undo a past disclosure. You may contact a sponsor directly to unsubscribe from that sponsor’s communications. Our marketing email unsubscribe and sponsor sharing choices are separate, but we help route a clear request appropriately.

We provide attendee contact, professional, and registration information to Covve before an event to support badge setup and event networking. This advance transfer happens separately from an individual badge scan. When you set up a badge, you can provide or update your profile details. When you choose to connect by exchanging or scanning a badge, the information associated with your badge may be shared with the connected attendee, sponsor, or exhibitor. Choosing not to scan a badge does not by itself opt you out of separately disclosed sponsor list sharing.

Covve’s networking technology uses supplied information and publicly available professional sources, including LinkedIn profiles, with AI assistance to prepare curated email introductions between people who connect and related connection summaries. Public professional information may be combined with your badge and connection information for this purpose. Introductions may contain errors; review them and contact us about corrections or networking preferences. Covve’s own notices also describe its processing. Membership enrollment does not automatically publish a member directory.

Event registration and badge notices may provide additional information about the particular networking activity and available choices. A policy acknowledgement is not a substitute for separate consent where the law requires it. Contact info@workpossible.org with questions or requests about an event’s list sharing, badge information, or introductions.

Public Speaker, Sponsor, and Promotional Materials

We do not record or transcribe facilitated member sessions or automatically publish a member directory. Participants may see the name and information you choose to display or share during a session. We prohibit participant recordings, transcription, but cannot guarantee that every participant will comply or keep a discussion confidential. General conference photography and approved event recordings are separate from private member sessions.

If you are selected as a speaker, sponsor, exhibitor, partner, award participant, volunteer, or other event participant, we may use approved or submitted materials to create and publish event related content.

This may include your name, company, job title, biography, headshot, logo, professional or social links, session title, session description, quotes, promotional graphics, attendee graphics, sponsor graphics, program advertisements, event website content, emails, printed or digital materials, and social media content.

Separate speaker agreements, sponsor agreements, media releases, approval workflows, or event specific written terms may provide additional permissions, restrictions, or approval processes.

Advertising Analytics and Tracking Technologies

We use advertising platforms and analytics tools to promote our services, understand website activity, measure campaign performance, and improve marketing. These include Google Ads, Meta Ads for Facebook and Instagram, LinkedIn Ads, ChatGPT Ads, Google Analytics 4, and Marketing Pulse at https://marketingpulse.io. Data Digital Nerd assists with campaign administration, tracking, reporting, and audience uploads.

Advertising and conversion measurement

Cookies, pixels, tags, and similar website technologies collect or receive information such as IP address, browser and device details, pages visited, referral addresses, and actions such as form submissions, registrations, or purchases. We use browser based conversion tools, including the Google Ads tag, Meta Pixel, LinkedIn Insight Tag, the OpenAI measurement pixel for ChatGPT Ads, and applicable platform tools, to connect website actions with campaigns, measure effectiveness, support advertising audiences and retargeting, and optimize delivery. The receiving platform may combine signals with information it already holds, subject to its terms and applicable law.

We also use the Wix Meta Conversions API integration to send website event information and related identifiers from Wix to Meta through server based reporting. This supplements browser based measurement and helps us measure and improve advertising performance. Applicable privacy choices, consent requirements, and advertising opt outs apply to this processing as well as browser based tracking.

Automatic advanced matching is enabled for our OpenAI measurement pixel. Where supported information is available on our website, this feature can detect contact identifiers, such as email addresses or telephone numbers, normalize and hash them in the browser, and include the resulting identifiers with conversion measurement events sent to OpenAI. Hashing does not necessarily make the information anonymous. The information actually processed depends on what is available, supported, and collected under the applicable settings and privacy choices. This browser based matching is separate from the customer list uploads described below.

Customer lists and audience matching

We supply customer or attendee email based audience information to Google, Meta, and LinkedIn to match audiences, target or reengage contacts, exclude existing customers, and measure campaign results. The upload occurs separately from website cookies. Where supported, identifiers may be hashed for matching; hashing does not necessarily anonymize them. We use these processes subject to applicable permissions, privacy choices, and platform requirements.

Analytics and reporting

Google Analytics 4 and Marketing Pulse help us understand website traffic, sources, interactions, conversions, and advertising performance. Marketing Pulse brings available marketing and conversion information together for reporting and attribution. Relevant records are processed by these providers and our marketing agency.

Advertising choices

You may request that we stop supplying your information for customer audience matching or sponsor direct marketing by emailing info@workpossible.org. We coordinate the request with our marketing provider, exclude the relevant identifiers from future uploads, and arrange applicable removal or replacement updates to previously uploaded audiences. We process requests within applicable legal deadlines and keep limited suppression information to avoid adding you again. A request does not guarantee that you will stop seeing all of our ads, including contextual ads or ads based on information a platform obtained independently.

You can review and change website tracking choices using the cookie preference controls on our websites. Browser cookie settings and advertising preferences in your Google, Meta, LinkedIn, or OpenAI account provide additional controls; their scope varies. A website tracking choice applies to the corresponding browser based measurement and connected server reporting as required by applicable law and our implemented consent settings. Browser choices do not automatically remove customer audience uploads. Withdrawing consent or exercising an applicable advertising opt out does not cancel membership. We honor applicable legal requirements concerning recognized opt out signals and consent. Sponsor list disclosures, audience matching, and advertising technology disclosures may constitute sale, sharing, or targeted advertising under particular privacy laws even when no money changes hands. Where those laws apply, we provide the corresponding rights and choices described in this policy.

Provider privacy information: Google https://policies.google.com/privacy; Meta https://www.facebook.com/privacy/policy/; LinkedIn https://www.linkedin.com/legal/privacy-policy; OpenAI https://openai.com/policies/privacy-policy/. These notices supplement our description of our own practices and do not replace our obligations.

Communications

We may send operational, transactional, and administrative communications related to your interactions with us. These may include application confirmations, onboarding notices, task reminders, review notifications, registration and ticketing notices, sponsor communications, invoice notices, event updates, requests for files or materials, security alerts, and support messages.

Some communications are necessary to provide the Services or administer an event and may not include a marketing unsubscribe option.

You may opt out of receiving promotional emails or text messages from WorkPossible by following the instructions provided in those communications. If you opt out of promotional communications, we may still send nonpromotional messages related to your account, transactions, event participation, or our ongoing business relationship.

Unsubscribing from marketing does not cancel membership or turn off automatic renewal. To turn off renewal, use the Stripe customer portal link we provide or contact info@workpossible.org as described in the Membership Terms. A privacy deletion request also does not automatically cancel membership; we will coordinate requests and explain any records that must be retained. This does not limit statutory cancellation or privacy rights. Any approved alternative payment arrangement is handled under its separate written agreement.

Membership enrollment does not by itself authorize marketing calls or texts. Any marketing text program requires its own appropriate disclosures, consent, and opt out process.

Files, Electronic Acknowledgements, and Signatures

The Services may allow or require you to upload files, type your name, check an acknowledgement, approve materials, sign electronically, or complete other electronic actions.

We may store those files and actions with the related record and use them as evidence of submission, review, approval, acknowledgement, or acceptance, subject to applicable law and any separate agreement.

Retention

We retain personal information for as long as reasonably necessary for purposes such as event operations, application review, onboarding, sponsor administration, attendee administration, reporting, audit history, legal compliance, tax and accounting obligations, dispute resolution, security, legitimate business purposes, and future event planning.

Retention periods may vary depending on the event, workflow, record type, and applicable legal or contractual requirements.

For subscription records, retention takes account of the service term, billing or benefit disputes, consent record requirements, tax and accounting obligations, and applicable limitation periods. We retain authorization and cancellation evidence as needed to establish what was accepted and charged. Accommodation information is retained only as needed to arrange assistance and handle related issues or legal obligations. We do not create recordings or transcripts of private member sessions. Deletion from active systems may precede routine backup expiration.

We may retain limited information after a deletion request where necessary or permitted for legal compliance, security, fraud prevention, dispute resolution, audit history, backup integrity, contractual obligations, or other legitimate purposes.

Security

WorkPossible uses administrative, technical, and operational safeguards designed to protect personal information from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction.

However, no internet connected system or method of electronic transmission or storage can be guaranteed to be completely secure.

You are responsible for using private links and access credentials carefully and for promptly notifying us if you believe an unauthorized person has accessed your account, private link, or submission.

Your Choices and Privacy Rights

You may contact us to request access to, correction of, deletion of, or review of personal information associated with your submission, registration, or event record.

We may need to verify your identity before fulfilling a request and may ask for information necessary to locate the relevant record, such as your email address, event name, company, or submission type.

Depending on where you live and whether applicable privacy laws apply to WorkPossible or your information, you may have additional rights. These may include the right to know what personal information we collect, use, disclose, sell, or share; correct inaccurate personal information; request deletion of personal information; opt out of certain sale, sharing, targeted advertising, or profiling practices; limit certain uses of sensitive personal information; and exercise applicable privacy rights without unlawful discrimination.

We will respond to privacy requests as required by applicable law. Certain requests may be limited where information is needed to provide requested services, complete a transaction, maintain security, comply with law, protect legal rights, or preserve required records.

To submit a privacy request, contact us at info@workpossible.org.

Where applicable law provides these rights, you may request a portable copy of your information, use an authorized agent, or appeal a denied request by emailing info@workpossible.org with the subject Privacy Request or Privacy Appeal. We may verify identity and an agent’s authority. We respond within applicable legal deadlines and explain any denial and available appeal process. You may also raise a concern with your applicable privacy regulator. We provide additional submission methods where required by law; this paragraph does not limit an applicable right to use another legally required method.

California Privacy Rights

California residents may have additional rights regarding their personal information under applicable California privacy laws, including rights relating to access, correction, deletion, and certain disclosures or sharing of personal information.

If you are a California resident and would like to submit a privacy request or ask about how your information is shared with third parties for direct marketing purposes, contact us at info@workpossible.org.

Third Party Services

Our Services may link to or integrate with third party websites, ticketing platforms, payment processors, accounting providers, file storage providers, video or meeting platforms, email providers, social platforms, analytics providers, professional profile pages, or other tools.

Those third party services are governed by their own terms and privacy policies. WorkPossible is not responsible for the privacy or security practices of third party services outside our control.

Children's Privacy

The Services are not intended for children under 13, and we do not knowingly collect personal information from children under 13 through the Services.

If you believe a child under 13 has provided personal information to us, please contact us so we can review the situation and take appropriate action.

International Users

WorkPossible is based in the United States. Information collected through the Services may be processed and stored in the United States and other countries where we or our service providers operate.

If you access the Services from outside the United States, your information may be transferred to and processed in countries that may have different data protection laws than your country of residence.

For Canadian individuals, where applicable Canadian privacy law applies to our processing, you may request access or correction, ask about the purposes and recipients of your information, withdraw consent subject to legal or contractual restrictions, or make a privacy complaint through info@workpossible.org. We explain relevant consequences of withdrawing consent and respond as required by applicable law. Data processed in another country may be accessible to that country’s authorities under its laws. A Canadian purchaser is charged in US dollars; currency conversion is handled by the purchaser’s financial institution.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time as our Services, event workflows, legal requirements, or business practices change.

If changes are material, we will provide notice as required by applicable law and obtain consent where required. Changes will not retroactively authorize materially different processing that requires new permission. We will update the “Last Updated” date when the policy is revised.

We encourage you to review this Privacy Policy periodically to stay informed about our privacy practices.
